 Safe Sanctuary Basic Procedures

1. At all times during any church sponsored program, event, or ministry (i.e., those programs, events, or ministries dependent on volunteers who have submitted a Volunteer Application form) involving children under the age of 12 years of age; at least two adult workers should be present. For children 12 and older only one adult may be present as long as there are two or more youth present. 
2. When two adults volunteers are not available. It is recognized that where multiple youth groups are meeting at the church at the same time (e.g. Sunday School or Bible School) it may be impractical to have two adults present all the time in each classroom.  A second adult may rotate (Roam) among the different youth groups or activities to ensure that two adults are present in the vicinity.  For children under the age of 12, the adult worker who will be present and assume primary responsibility for the church sponsored program, event, or ministry shall be at least 18 years of age. 
3. At all times in rooms during church sponsored program, event, or ministry, classroom doors shall remain open unless the room is clearly visible form the hallway. 
4. For church sponsored program, event, or ministry involving teens, the adult worker who will be present and assume primary responsibility shall be at least 5 years older than the oldest teen participant in the program. 
5. All volunteers, adults and minors, for church sponsored program, event, or ministry shall fill out a Volunteer Application prior to participation in the church sponsored program, event, or ministry.  The forms will be kept on file in the church office for 3 years. After 3 years the Volunteer Applications will be updated. 
6. To be a volunteer, a person must be an active constituent of church for 6 months. If not, the references on the Volunteer Application must be contacted prior to approval to participate.  The church sponsored program, event, or ministry supervisor/coordinator will make an approval to participate on other background information. 
7. Safeguarding Application Forms. Volunteer Application forms contain confidential personnel information and will not be given open access. They will be held in the church office in a controlled access file.  The PSPR committee or its designated representative will control access to these files.  A listing of volunteers with current applications will be provided by the PSPR to ministry supervisor/coordinators as needed. 
8. Children under 12 years of age must be escorted to - and signed in - by parents, guardians, or other adults with permission, to church sponsored programs, events, activities, or ministries. The children should not merely be dropped off.  Minimum information for sign in will include the name of the child, age, and contact information such as telephone number or contact location in the church (e.g. Sanctuary, Sunday School classroom, Multi-purpose Room). 
9. Report any injuries to the parent/guardian and to supervisor/ coordinator.
